Rental Policy — Chromaera Visuals LLC
Everything you need to know before you book. For full legal terms, see our Terms & Conditions.
Who can rent
Renters must be 18 or older with a valid government-issued photo ID and a payment method in their name, shown at pickup or delivery.
Booking & Payment
Your rental is confirmed once you've paid in full and signed the rental agreement. Every renter needs a valid government photo ID and a card on file. First-time renters complete a short application before their first pickup.
Security deposit
We place a refundable hold on your card equal to roughly 20% of the gear's replacement value. It's not a charge — it's released after a clean, on-time return, usually the same day. Your bank may take 3–7 business days to show it.
Cancellations
- More than 48 hours before pickup: full refund
- 24–48 hours before: 50% charged
- Less than 24 hours, or no-show: full rental charged
- You can reschedule once for free if you ask more than 48 hours ahead
Late returns
Gear is due back at the date and time on your booking. We allow up to a 2-hour grace period. After that, late fees are 150% of the item's daily rate for each day or part of a day ($50/day minimum per item). Gear not returned within 5 days without an approved extension is treated as lost and billed at full replacement value. If you need more time, message us before the due date — extensions are easy when we can plan for them.
Delivery
Pickup in Santa Rosa is free. Delivery anywhere in Sonoma County is a flat $50. On delivery orders, you're responsible for the gear from the moment it's dropped off until we collect it.
Damage Waiver (Optional)
Protect yourself from accidental damage costs with our tiered Damage Waiver. Choose the coverage level that matches your equipment rental value.
Tier 1: Budget Waiver — $15
- Coverage limit: Up to $150 in accidental damage
- Best for equipment under ~$300 replacement value
- Covers: accidental drops, impacts, liquid exposure
Tier 2: Standard Waiver — $40
- Coverage limit: Up to $500 in accidental damage
- Best for equipment ~$300–$1,000 replacement value
- Covers: accidental drops, impacts, liquid exposure
Tier 3: Premium Waiver — $85
- Coverage limit: Up to $1,000 in accidental damage
- Best for equipment ~$1,000–$2,500 replacement value
- Covers: accidental drops, impacts, liquid exposure
Tier 4: Ultra-Premium Waiver — $200
- Coverage limit: Up to $2,500 in accidental damage
- Best for equipment $2,500+ replacement value
- Covers: accidental drops, impacts, liquid exposure
What's NOT Covered (All Tiers):
- Theft or loss of equipment
- Intentional damage
- Gross negligence (leaving equipment in extreme heat, failing to secure during transport)
- Water damage from extreme environments (saltwater, submersion)
- Unauthorized modifications or self-repair
- Damage exceeding your coverage limit (you pay the overage)
How It Works:
Without a waiver, you're responsible for 100% of repair or replacement costs. With a waiver, damage within your coverage limit is covered at no additional charge. Damage exceeding your tier's limit is your responsibility.
See our full Damage Waiver Policy for details, examples, and the claims process.
Insurance
Bookings with more than $2,500 in equipment value require a certificate of insurance naming Chromaera Visuals LLC as additional insured. For rentals over $2,500, the damage waiver alone does not satisfy this requirement — you must provide your own equipment insurance. We'll send you the details when you book.
